Meeting Details

Each meeting in your Client Portal contains all the information you need – from join links and attendees to agenda items and post-meeting notes.

Viewing Meeting Details

Navigate to Meetings

Click “Meetings” in the sidebar navigation.

Click on a Meeting

Click on the meeting row or “View Details” to open the full meeting details.

Meeting Information

The meeting details page shows:

Basic Information

  • Meeting Title: Purpose/topic of the meeting
  • Date & Time: When the meeting is scheduled (your timezone)
  • Duration: Expected length of the meeting
  • Status: Confirmed, pending, completed, or cancelled

Meeting Type & Format

  • Type: Consultation, project review, strategy session, etc.
  • Format: Video call, phone call, or in-person
  • Platform: Google Meet, Zoom, phone, etc.

Attendees

  • List of people attending
  • Their role (project manager, specialist, etc.)
  • Your name and any guests you’ve added

Join Information

For Video Meetings

  • Join Link: Click to open the video meeting
  • Meeting ID: For manual entry if needed
  • Passcode: If the meeting requires one
  • Dial-in Number: Phone option for audio-only

For Phone Calls

  • Phone Number: Number to call or expect a call from
  • Who Calls: Whether we call you or you call us

For In-Person Meetings

  • Address: Meeting location
  • Directions: How to get there
  • Parking: Parking information
  • Who to Ask For: Person to meet
Join Early

For video meetings, click the join link 2-3 minutes early to test your audio/video and be ready when the meeting starts.

Agenda & Description

Meetings may include:

  • Description: What the meeting is about
  • Agenda: List of topics to be covered
  • Preparation: Things to review or bring
  • Links: Relevant documents or resources

Actions from Meeting Details

From the meeting details page, you can:

  • Join Meeting: Click the join button when it’s time
  • Add to Calendar: Download calendar invite (.ics file)
  • Reschedule: Change the meeting date/time
  • Cancel: Cancel the meeting
  • Message: Send a message about the meeting

Before the Meeting

Prepare for your meeting by:

  1. Reviewing the agenda and topics
  2. Preparing questions you want to ask
  3. Gathering relevant documents or files
  4. Testing your camera and microphone (video calls)
  5. Finding a quiet location with good internet

Post-Meeting Information

After a meeting is completed, you may see:

Meeting Notes

  • Summary of what was discussed
  • Key decisions made
  • Action items and next steps

Recording

  • Link to meeting recording (if recorded)
  • Available for a limited time

Follow-up Items

  • Tasks assigned to you
  • Items we’re working on
  • Next meeting scheduled
Meeting Notes

Not all meetings have detailed notes posted. For important action items, feel free to follow up via project chat or email to confirm.

Joining Video Meetings

When it’s time for your video meeting:

Click Join Meeting

Click the “Join” button on your meeting details page or from the meetings list.

Allow Permissions

Your browser may ask for camera and microphone permissions. Click “Allow”.

Preview Your Video

Most platforms show a preview. Check that you can see and hear yourself.

Join the Call

Click “Join Now” or “Enter Meeting” to connect with the team.

Troubleshooting Join Issues

Can’t Join Video Meeting

  • Try a different browser (Chrome usually works best)
  • Check that camera/mic permissions are enabled
  • Try the dial-in phone number as backup

Audio/Video Not Working

  • Check your device settings
  • Make sure no other app is using your camera
  • Try disconnecting and rejoining
